The development,  updating, and maintenance of the WordPress site are the responsibility of the site owner. The platform is  not designed to serve as a replacement for an existing EDU website.

Google Sites lets you create a simple website quickly without any knowledge of HTML. You can work alone or with others to create a website using Google Sites. A unique feature of Google Sites is that access can be limited to internal Â鶹´«Ã½É«ÇéƬ users. Google Sites is not appropriate for department websites. The use of Google Sites is recommended for internal Â鶹´«Ã½É«ÇéƬ audiences, administrative departments, and current students, faculty, and staff.

Policy on External Websites and Blogs

Â鶹´«Ã½É«ÇéƬ University Directory display is managed by M&C, but information is updated by the Human Resources department through the MyDay system.

Â鶹´«Ã½É«ÇéƬ Content Management System (CMS) is the university-wide system for building and managing website content for all Web properties within .

A Web-based software application, the Â鶹´«Ã½É«ÇéƬ CMS is used to create, publish, and store content for presentation on the newschool.edu website. It is designed to allow colleges and schools, administrative departments, and strategic university initiatives to easily update and publish their content, in partnership with M&C.

In order to use the CMS you must first receive training from Online Strategies. Have your designated program/department liaison with Online Strategies submit an . If you do not know who your designated liaison is, contact your in Marketing and Communication.

If you have forgotten your CMS password you can initiate a password reset. You will need to know your CMS username and the email address attached to your account. This is normally is your new school email address. 

Much of the time when you can't edit a piece of content you think you should be able to, it is not because your permissions are incorrectly set, but instead for one of the 4 following reasons:

1. The piece of content is checked out by another user.
   You can determine this by navigating to the content block's property tab via the workarea and checking the Status field. If it is checked out it will say "Checked Out" and the "Last User to Edit" field will tell you by who. Until they check it in or submit it for publishing, no one else will be able to access the content.
2. The piece of content is in workflow.
   You can determine this by navigating to the content block's property tab via the workarea and checking the Status field. If it says "Submitted for Approval(s)" that means it is in workflow. To find out specifically where in workflow, check the Approvals field. The type highlighted in red will indicate where in the flow the content is.
3. Someone in your program/department has determined you should not have access.
   With very few exceptions, Online Marketing Platforms (OMP) does not determine which users have access to what content. If you think you should be able to edit something you can't, you should discuss the matter with your program's/department's designated liaison with OMP. This person is usually your Communications Director or its equivalent. They will then contact us should any access changes be required.

1. Make Sure You Actually Submitted Your Content Changes
   You can determine this by navigating to the content block's property tab via the workarea and checking the Status field. If it says "Submitted for Approval(s)" that means it is in workflow. To find out specifically where in workflow, check the Approvals field. This field shows every approval step required before content goes live on the site. The text highlighted in red will indicate where in the flow the content is. If the Status field says "Checked Out" you did not actually submit the content. Go back into edit the content and click the "submit" button.
2. Has It Been Three Days Since You Submitted Your Changes?
   Virtually all content changes must go through an approvals workflow. The number of steps and how long it takes depends on the given site or section of a site. A good rule of thumb is to allow three business days from the date of submission to publication. Marketing and Communication approval is the last step in all workflows.
3. Are You Looking at a Cached Version of the Page?
   to make sure you are not seeing an old version of the page. Some content also makes use of server caching and there is a delay between when something is published and when it ultimately shows up on the site. Please keep all of these things in mind when updating content.

PDFs are sometimes better solutions for some content than adding another HTML page. When the need to use a PDF arises, make sure it has basic Â鶹´«Ã½É«ÇéƬ branding at minimum. You can download university and School logos from the visual identity page in the Marketing and Communication website.

Google Docs - Also Known as Google Drive
Â鶹´«Ã½É«ÇéƬ has moved to a decentralized model using Google Docs to host PDFs because it provides content owners with more flexibility in managing their documents. You must use the official university hosted version of Google Docs. Do not use any other instance of Google Docs. The official university hosted version follows all security protocols that Â鶹´«Ã½É«ÇéƬ is mandated by the government to meet. While we are on the topic of information security, all faculty, staff and student workers are required to adhere to The Â鶹´«Ã½É«ÇéƬ's Information Security and Policy Standards.

Â鶹´«Ã½É«ÇéƬ's Information Technology department has available on how to make use of Google Docs.

Each document must be associated with a program/department email address (e.g. [email protected]). The reason for this is that when a document's owner leaves Â鶹´«Ã½É«ÇéƬ, the document is deleted along with the individual's personal Â鶹´«Ã½É«ÇéƬ email address, and will be unrecoverable. We highly recommend that at least two people have access any program/department email address so their is a primary and backup person to manage documents.
